Welcome pack for employees: How to build an onboarding kit a new hire won't throw away after week one

First impressions only happen once. While a new hire signs the contract and picks up a laptop, the welcome pack quietly tells them what kind of company you are. We'll show which items belong in a 2026 kit, how much it should cost, and why couriered delivery beats in-person handover for remote onboarding. Bonus: concrete kits for startups, IT firms, manufacturing and creative teams.

Why bother with a welcome pack at all

HR data is consistent: the first 90 days decide whether a new hire stays. A welcome pack alone doesn't solve churn, but it signals that you're ready. Concrete benefits:

  • Lower first-day stress. The new hire knows where to reach for a pen, where to put a drink, where to hang a badge.
  • Faster brand identification. A hoodie, mug and bottle carry the internal logo into hand and outside the office (cafés, gyms, LinkedIn photos).
  • Marketing with no ad budget. First-day photos often land on LinkedIn — free exposure to future candidates.
  • Alumni goodwill. Even an employee who leaves in three years usually keeps the hoodie and keeps wearing it.

What to put into a welcome pack — seven essentials

The kit doesn't have to be lavish, it has to be thoughtful. The proven seven:

1

Hoodie or t-shirt with logo

A printed hoodie is the most powerful element — worn daily for the first weeks (belonging), later on weekends (passive marketing). For summer starts, use a custom-printed t-shirt. Made from 1 piece up.

→ Longest lifespan in the kit
2

Notebook or notepad

A notebook with corporate print is the most practical add-on. A5 hardcover survives a full year of meetings.

→ Name personalisation: +€1.20–2 per piece
3

Metal pen

A €0.20 plastic pen signals cost-cutting in the wrong place. A metal pen from €1 lasts years. For senior hires, choose a Parker with engraved name.

→ Outlasts the first meeting
4

Water bottle or thermos

A printed gift bottle is the kit's most permanent element — the hire carries it daily for as long as they stay. Alternative: thermos for coffee and tea drinkers.

→ Daily brand visibility for zero ad spend
5

Mug for the office kitchen

A printed mug has a real onboarding role: the hire doesn't have to figure out which mug is safe to use on day one. "You've got your own" is a small thing that works.

→ Kills the awkward first moment
6

Lanyard with badge

In an open-plan of 50+ people, a lanyard with badge holder is a practical necessity — colleagues know what to call the new person without guessing at the coffee machine.

→ Name personalisation from 1 piece
7

Paper bag as the wrap

A kit should feel like a "kit", not a pile on the desk. A printed paper bag or a full-colour bag ties the presentation together.

→ Brand visibility beyond the office

Welcome pack by company type

There's no universal kit. A startup needs different energy than a manufacturer. Suggestions by profile:

Company type Recommended set Budget per kit
Startup / IT5–50 people Hoodie + notebook + metal pen + bottle + lanyard + stickers €32–60
Corporate IT100+ people Hoodie + notebook + Parker pen + thermos + mug + lanyard €60–120
Manufacturing T-shirt/hoodie + reflective vest + bottle + notebook + reflective keychain €28–48
Creative agency Tote bag + A4 notebook + quality pen + mug + business card €36–72
Retail / HORECA Printed t-shirt + name badge + pen + mug €20–36

Timing: when to deliver the welcome pack

Three working variants by logistics:

  1. On the desk on day one (strongest effect). The hire walks into the office and the kit is ready. Requires space and someone to lay it out the day before.
  2. Handed over at an onboarding meeting (day one afternoon). HR presents it, paired with a culture briefing. More formal but more personal.
  3. Couriered ahead (remote onboarding). Kit arrives 2–3 days before day one. The hire can wash the clothing, wear it to their first meeting and the from-home photo is ready for LinkedIn.

For growing firms with remote/hybrid teams, option 3 is increasingly dominant. TAEDA handles packing and courier dispatch — send us the new hires' addresses and we ship directly. More detail in our corporate merch guide.

5 tips to level up your welcome pack

  1. Name personalisation. A notebook with "Welcome, Anna" on page one costs €1.20 more and means an order of magnitude more to the hire than a generic "Welcome to the team".
  2. Personal note from the CEO or team lead. Not a LinkedIn template — a real paragraph about why they're excited about the collaboration. Printed, signed.
  3. Snack box instead of a single treat. A small mix (tea, chocolate, nuts) is safer than one specialty that may not land.
  4. QR code with onboarding video. A seven-minute clip from leadership complements physical items perfectly — the hire watches it on the way out.
  5. Kit photo on LinkedIn. Create your own hashtag (#WelcomeToAcme) so new-hire photos don't get lost in the feed.

Frequently asked questions

What's the minimum order for welcome packs?

Minimum order is 1 piece — t-shirts, hoodies, notebooks, pens and bottles all produce individually. Ideal is to order kits 6–12 months ahead (based on your hiring forecast) — per-unit cost drops significantly at 20+ pieces.

How do I handle clothing sizes when I don't know the hire's size?

We recommend ordering a base set of hoodies/t-shirts across S–XXL and assigning after contract signature. Alternative: ask for size in the contract or onboarding email. A replacement piece takes 5–7 days.

Can you pack and courier the welcome pack directly to the new hire's address?

Yes. Send us the list of addresses and we pack the kits, wrap them in your company paper bag and ship via DPD or the local carrier. You don't touch logistics — just send names and addresses.

Can the welcome pack be personalised with each hire's name?

Yes — sublimation lets us print each piece with different artwork. Most commonly we personalise the notebook (name on page one or cover), the pen (engraved name) and the lanyard with a badge. Cost per unit rises by €1.20–4 depending on product.

How long does welcome pack production take?

Standard production is 10–14 days from artwork approval, plus 1–2 days of data prep and 1–3 days shipping. Count on 3–4 weeks total. For fast hires we have express products (Cosmo Express pens, Alumaxi Express 24h bottles).

Are welcome packs tax-deductible?

Yes, welcome packs for employees are usually tax-deductible as advertising or a company benefit. Details in our article Tax deductibility of promotional products 2026.

Can you design the kit even if we don't have an in-house designer?

Yes. The first 30 minutes of design work is free — we rework your logo, fine-tune the print layout and send a preview for approval. No hidden fees, no obligation to order.
